About the role:
The Executing Assistant will support our COO, Country Managers and the executive leadership team, and needs the support of someone who is driven, focused and capable of delivering in a fast-paced and time constrained environment. Responsibilities will include:
- Primarily assisting and supporting the COO and country managers, with some support to the Executive Leadership Team as time allows
- Diary management; coordinating internal and external meetings and collaborating with key stakeholders, often over different time zones.
- Organising national and international travel arrangements as and when required
- Professional correspondence and communications management
- Organising meetings and roadshows
- Coordinating Board and management meetings, including board packs/papers and minute taking
- Preparing reports, documents, presentations, spreadsheets and analysing statistics
- Handling confidential information with absolute discretion. Confidentiality is of the utmost importance and critical to this role.
- Event management
- Liaising and nurturing key relationships at all levels within the business
- Collaborate with Office Manager and Coordinator to ensure the smooth running of the office.
- Support with any day-to-day activities with office and facilities management.
What you will need to succeed?
- You will be an exceptionally well organised, highly motivated individual who possesses strong administration skills and has experience of working within a fast-paced environment.
- The ability to prioritise tasks, be proactive and work autonomously, often within ambiguous parameters
- Strong attention to detail and accuracy
- Excellent interpersonal skills with highly developed communication skills
- Experience and confidence working with clients and other stakeholders
- Exceptional time management and organisational skills
- The ability to understand professional pressures and remain resilient under these circumstances
- Commitment to outstanding customer service
- Advanced knowledge of Microsoft Word, PowerPoint, Excel and Outlook
