The Assistant Property Manager is responsible for effectively computing, classifying and recording numerical data to keep financial records complete while assisting with the leasing (both commercial and residential) and resident relations for a mixed-use portfolio. The entrant will perform any combination of routine calculating, posting and verifying duties to make payments to vendors, process rental payments for tenants and obtain primary financial data for use in maintaining property accounting records.

 Responsibilities

  • Responsible for the day-to-day operations of various properties, both commercial and residential
  • Manage tenant communication and tenant services on a daily basis
  • Ensure that the property is safe and properly maintained; routinely inspect the properties to determine whether repairs or maintenance is needed. This includes inspection of vacant units on a regular basis
  • Plan, schedule and coordinate general maintenance, major repairs, and obtain approvals for office renovations
  • Monitor the performance of contractors and investigate and resolve complaints from tenants when services are not properly provided. In handling requests for repairs- trying to resolve complaints, meet with tenants & contractors on site
  • Coordinate with Property Manager on all issues including reporting of site issues and site performance of service providers
  • Compiling data and producing client reporting

Requirement
  • Previous property experience in an administrative or accounts capacity
  • Good organisational and co-ordination skills
  • Good verbal and written communication skills
  • Excellent time management
  • Ability to multitask and to work accurately and effectively under pressure
  • Good general administrative skills – essential
  • Sound knowledge of MRI Accounting & Property Database or similar – advantageous
  • Must be computer literate in Microsoft Excel, Word & Outlook
  • Continuous improvement: delivers efficiency in addition to effectiveness
  • Self-starter, who relishes challenges and strives for the best
  • Strong team player: builds relationships and consults with others
  • Confident with a positive outlook
