Compensation

The pay range above represents the lowest possible rate for the position and the highest possible rate. Factors that may be used to determine where newly hired employees will be placed in the pay range include the employee specific skills and qualifications, relevant years of experience and comparison to other employees already in this role. Most often, a newly hired employee will be placed below the midpoint of the range.

Responsibilities

Assists the Vice President, Quality with managing the daily functions of the Administration Department. Serves as the primary initial contact for Quality Administration, coordinating the flow of information and contacts between the Vice President, Quality and others. Assist the management team as requested.

Essential Functions And Responsibilities

  • Manages and supports the Vice President’s and Quality Directors’ calendar and independently schedules appointments, creates/maintains various reports, and presentation materials, including Director of Quality, Director of Infection prevention, Director of Risk Management/Patient Safety, and Director of Medical Staff Services.
  • Screens incoming calls, voice mail and visitors for the Vice President, Quality and department directors.
  • Coordinate, manage, and distribute quality related reports and findings to management and staff, including Press Ganey, Patient Satisfaction, and other quality related reports.
  • Manage and update policies, procedures, and employee compliance, working with management across the health system to ensure compliance.
  • Coordinates the claim management process to include invoicing, reconciliation, filing, and is key participant in the annual external audit.
  • Provide support to Quality Board Committee and for all Quality Governance committees, including preparing presentations, agendas, minutes, including collecting information from other departments.
  • Assist in managing, updating, and distributing Health System and DNV phone tree.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • Creates and maintains database and spreadsheet files.
  • Arranges complex and detailed travel plans and agendas, compiles documents for travel-related meetings, and accompanies supervisor when requested.
  • Assists Department directors and managers with policy, procedure, updates and preparation of manuals.
  • Maintains permanent file of all minutes.
  • Open and sort mail.
  • Orders supplies as necessary.
  • Send, receives and distribute faxes.
  • Schedule and arrange various meeting.
  • Maintain and update filing.
  • Prepare and distribute the various physician call schedules.
  • Compile plan of correction responses to the various accreditation and licensing agencies.
  • Performs other duties as assigned.

Required

Qualifications

  • Bachelor’s Degree in Healthcare Administration or related field
  • Three (3) or more years of experience in healthcare administration

Preferred

  • Proficient in Microsoft Office
