Job Description

When greeting guests in person or over the phone, the receptionist will bring a customer service mindset. Calls are answered, screened, and directed by the receptionist. By directing guests and providing visitor cards to those who have appointments, the job ensures security. The receptionist offers all-around operational, administrative, and clerical support. Setting a professional tone and creating a friendly atmosphere for the office falls under the purview of this position. The receptionist is in charge of upholding law and order in the waiting area. To ensure that processes are successfully coordinated during emergencies, this job must build and maintain strong relationships with the personnel.

Qualifications:

  • Make use of a phone system with multiple lines to field inquiries, relay information, take messages, and so on.
  • Responsible for enabling requests through the Computerized Maintenance Management System (CMMS), as well as for follow-ups and backup training coverage.
  • Organize the gathering of data and the updating of the employee database; this includes tracking new recruits and updating the annual compliance trainings.
  • Answer all incoming calls, screen them, and forward the appropriate ones while passing along relevant information.
  • Communicate with people who are taking part in studies, visitors, employees, and messengers. The first step in directing or escorting visitors to certain locations is to ascertain the nature and purpose of their visit.
  • Filing, photocopying, collating, and faxing are also necessary administrative activities.
  • Administrative tasks including invoicing, data entry, word processing, generating new case files, and drafting correspondence are taken care of.
  • Participate in staff meetings, including those for the departments of operations, finance, and performance management.
  • Document who has signed out what office supplies and equipment, and keep track of office and filing cabinet keys.
  • Maintain accurate sign-out/sign-in processes for visitors and on-site staff. Ensure personnel whereabouts are known.

Skills:

  • experience working in a fast-paced environment as a receptionist or office assistant.
  • Excellent and polite follow-up, communication, and consideration for customers, employees, and professionals.
  • Ability to handle several assignments and generate products within short deadlines.
  • Basic computer skills include word processing, spreadsheets, access, and PowerPoint presentations, as well as internet surfing.
  • Excellent record-keeping and prompt problem solving depend on your ability to pay close attention to the smallest of details.
